A. Purpose of this Document
This document provides our customers and stakeholders with a comprehensive understanding of the Vertex Sync Service.

B. What is Vertex Sync?
Vertex Sync is cloud-based service that provides a centralized, secure, and collaborative platform for managing design and construction projects, streamlining workflows, and improving communication among all involved parties by leveraging the power of cloud computing. Vertex Sync is hosted and managed by Vertex on a cloud infrastructure and provides its functionality through an API, which enables clients such as the web-based UI and Vertex Workspace to access the application over the internet. This model eliminates the need for customers to install, maintain, or update software locally, providing them with a highly available, scalable, and secure service that is always up to date. By subscribing to the service, users benefit from automatic updates, managed infrastructure, and accessible data from any location with an internet connection.

C. Target Audience and Value Proposition
This document is primarily intended for current and prospective customers, IT decision-makers, and internal stakeholders who require detailed insight into Vertex Sync Service.
Our value proposition for Vertex Sync is rooted in empowering our customers to:

  • Enhance Collaboration: The “Sync” in Vertex Sync highlights its core functionality: enabling seamless collaboration. Multiple team members, including designers, manufacturing teams, and on-site crews, can work simultaneously on the same projects from different locations.   • Robust Data Security and Reliability: The service inherently manages data security, backup processes, and disaster recovery, offloading these responsibilities from the user or organization and ensuring data integrity and availability.

    In essence, Vertex Sync delivers a secure, highly accessible, and collaborative environment to efficiently manage and execute design and construction projects through cloud technology.

D. Relationship to Vertex CAD Product Portfolio
Vertex Sync is an extension of the broader Vertex Product Portfolio. While our traditional CAD products focus on design creation and manipulation, Vertex Sync complements these by providing a powerful, cloud-based platform for data synchronization, version control, sharing and collaborative workflows specifically tailored for CAD environments.
By integrating seamlessly with our existing CAD solutions, Vertex Sync significantly enhances the value proposition of our entire CAD product line. It addresses critical customer pain points related to file sharing, concurrent design, and project management in CAD-centric industries. Vertex Sync reinforces our commitment to providing comprehensive and integrated solutions that support the entire design lifecycle.

II. Core Service Features and Functionality

A. Technical Architecture
1. Built on Microsoft Azure: Our service leverages Microsoft Azure for its robust scalability, inherent reliability, and extensive global infrastructure, ensuring high availability and performance.
2. Network Requirements and Connectivity: Vertex Sync requires standard internet connectivity; optimized for efficient data transfer to ensure smooth access for all users.

B. Remote CAD Work and Accessibility
1. Access Methods: Non-CAD users can access CAD-generated data and documentation via a web browser from any device, ensuring hardware-independent access. Limited tools are also available for external document sharing.
2. Performance Optimization for Data transfer: Minimize data transfer by transferring only changed files.

C. Streamlined Document Sharing and CAD Environment Distribution
1. Project Document Sharing and Collaboration: Facilitates secure and efficient document sharing and collaborative workflows for CAD-generated data and other project documentation across the organization.
2. Centralized Management of CAD Environments: Provides administrators with a single point of control for organizing and distributing CAD-generated data and documentation to relevant stakeholders.

D. CAD Application Integration (Vertex BD)
1. Supported CAD Software and Compatibility: Vertex Sync is designed to integrate with the latest major releases of Vertex CAD applications. Detailed compatibility information is maintained in our technical documentation.
2. Integration Mechanism: Integration with Vertex BD is handled through a separate control application, which installs, updates, and launches automatically with Vertex BD—no extra setup or maintenance is required from users. Other applications can integrate with Sync using its Open API.

E. Data Management, and Version Control
1. File Revisions and History: Vertex Sync provides a tool to maintain revisions. Revisions allow users to track changes and revert if needed.

3. Data Retention Policies: Data is retained for at least 30 days after the service ends. The user can download the files stored in the service at any time.

F. User and Access Management
1. Each user in Sync has a role assigned by the organization administrator. The user role defines what actions the user can perform and what data the user is allowed to access.
2. User authentication is carried out in accordance with the OpenID Connect (OIDC) identity authentication protocol, which extends the Open Authorization (OAuth) 2.0 framework to standardize the process of authenticating and authorizing users. Authentication for Vertex Sync is performed via VertexID. The VertexID authentication service employs single sign-on (SSO).

III. Security, Compliance, and Data Privacy

A. Data Encryption
All traffic to and from the service to a client is encrypted.
Communication between Vertex Sync service and clients is based on OpenAPI 3 standard.

B. Access Controls and Authentication Protocols
Each request to our services is authenticated and authorized with a highly protected authentication & authorization service.
Authentication services use a single sign-on (SSO) integrated with VertexID account – all users need to create a VertexID account.
Authentication supports multi-factor authentication (MFA).

C. Security
Vertex recognizes that robust physical security is the foundation of data protection. While we leverage Microsoft Azure’s world-class physical data centers.

Vertex’s Security Practices:

• Restricted access to critical content: Access to critical content and sensitive data is meticulously controlled and granted only to a limited number of authorized personnel based on the principle of least privilege.

Vertex’s commitment to security includes continuous vulnerability management and proactive penetration testing, ensuring a high level of security for our cloud-based platform and applications.
All events are logged, providing comprehensive audit logs and traceability. The logs can be used within certain limitations to understand what has occurred.

F. Data Residency and Localization Options
All data processing is done in a cloud-based SaaS service. The physical servers and databases are located in Europe in the EU. Vertex may establish new data centers in other continents due to service growth and local needs, ensuring that European data remains in Europe.

A. Support Channels
Vertex Systems is committed to providing comprehensive support to ensure your success with Vertex Sync. You can access our support resources and contact us through various channels:

• Service Desk Web Portal: For direct assistance, you can submit and manage support requests through our dedicated service desk portal.

B. Hours of Operation and Response Times
Support is available during the local business hours of Vertex offices. We strive to provide timely and effective assistance to all our users. Specific response times may vary depending on the nature and severity of your inquiry.

V. Updates, Maintenance, and Business Continuity

A. Software Updates and Release Schedule
Software updates are deployed to the service automatically, primarily without interrupting users. Updates are performed regularly to ensure you always have access to the latest features, performance improvements, and security enhancements.

B. Planned Maintenance Procedures and Notifications
Sync is updated continuously, and most of its updates happen without any downtime – yet still the most critical components are updated with a downtime. Should any service downtime be required for planned maintenance, notifications will be provided in advance through the service interface. We strive to keep any necessary service interruptions as short as possible and to schedule them at times that minimize impact on our users.

C. Disaster Recovery
To ensure data integrity and prevent any form of data blending, each customer’s database and storage are completely isolated from one another. Our robust disaster recovery strategy includes regular backups: each customer database is backed up every 6 hours (with a 1-week retention period), and each storage is backed up once a day (with a 1-month retention period). Please note that these backup policies may change over time. These backups are solely for disaster recovery purposes. Backups are not intended to provide point-in-time restoration features or services.

VI. Commercial Terms

A. Subscription Models and Pricing Structure
Vertex Sync is exclusively available on a subscription basis, accessible through Vertex Systems’ official online marketplace, my.vertex.fi. Vertex Systems reserves the right to define the content and pricing of its products. Customers may utilize multiple subscription levels concurrently to meet varying organizational needs. Specialized products for integration may also be available, with pricing potentially based on usage.

B. Billing and Payment Process
Subscriptions for Vertex Sync are offered with both monthly and annual payment options. All payments are made in advance, granting access to the service(s) for the duration of the chosen subscription period. The accepted payment methods may vary by region or country. Detailed information can be found in the documentation provided by our payment processing partner, FastSpring. Depending on the selected payment method, subscriptions will either automatically renew or require manual re-payment at the end of each period.

C. Trial Periods (if applicable)
A trial period is available for Vertex Sync. Users can seamlessly convert their trial into a full license during the trial period or up to 30 days thereafter to continue uninterrupted service.

D. Contract Term and Renewal
The comprehensive terms regarding your agreement and service usage are detailed in our separate License Agreement and Terms of Service documents. As noted above, depending on your chosen payment method, your subscription will either automatically renew or require re-payment at the end of the subscription period. Please be aware that your data will be retained within the service for a minimum of 30 days following the termination of your subscription.
